In short
VoIP phone system features cover call routing (menus, hunt groups and queues), apps for mobiles and laptops, collaboration with Teams or Webex, call recording and reporting, CRM integration and web-based admin. Most platforms include routing and apps as standard, while recording, live reporting, CRM and AI features depend on the edition, tier or licence.

The features businesses use most
VoIP phone systems are packed with features, but most businesses rely on the same six groups:
- Call routing: auto attendant menus, hunt groups, call queues, time-of-day rules, call park and pickup, so every call reaches the right person
- Apps and mobility: the same extension on a desk phone, a laptop softphone and a mobile app, with presence and one number for each user
- Collaboration: calling inside Microsoft Teams or the Webex App, with chat, meetings and video in the same place
- Recording and reporting: call recording, call history, queue reports and live wallboards for supervisors
- Integrations: CRM screen pops and click to call, Microsoft 365 contacts and presence, and data connectors for reporting
- Admin: a web portal to add users, change menus and set holiday messages, without an engineer visit
For short definitions of any term, our sister site keeps a phone system features glossary.
Call routing that matches how you work
Routing is where a VoIP phone system earns its keep. An auto attendant answers with a greeting and menu ("press 1 for sales") and changes with your opening hours and holidays. Hunt groups ring a team together or in turn. Call queues hold callers in order with music or messages until someone is free, and can offer a callback. Call park lets a receptionist put a call where anyone can pick it up, and BLF (busy lamp field) keys show at a glance who is free.
For teams handling many calls at once, see multi-line VoIP phone systems, which explains simultaneous calls, direct dials and queues.
Apps, mobility and collaboration
Every platform we supply has apps. 3CX has web, Windows, iOS and Android apps; Forever UC runs on iOS, Android, Windows and Mac; Teams Phone uses the Teams app; and Webex Calling uses the Webex App. Several devices can be signed in for one user, so a call can ring the desk phone, laptop and mobile together.
Collaboration is the other half. Teams Phone puts calls inside Teams, Forever Teams does the same with your existing numbers, and Cisco includes its Webex Calling integration for Microsoft Teams with Professional (User) and Standard licences. 3CX PRO and AI add presence sync with Microsoft 365, and the AI edition adds a Teams Direct Routing integration from 16 simultaneous calls. Softphone vs desk phone helps you decide who needs which device.

We will check it against your systems and requirements and recommend the right option.
Recording, reporting and AI
Call recording is available on every platform we supply, but which tier includes it differs. Reporting ranges from call history to live wallboards for supervisors, and AI features such as transcription are arriving on several platforms. VoIP call recording explains the UK rules, including telling callers and handling card payments, and VoIP CRM integration covers screen pops and call logging.
The table below summarises which tiers include the main features.

Features for several sites and hybrid teams
VoIP makes several sites and home workers feel like one office. Useful features here include:
- Short extension dialling between sites, so colleagues in another office are one short number away
- Shared reception, where one team answers for every site and transfers calls on
- Hot desking, where a user signs in to any shared phone and it takes on their extension; 3CX includes it on PRO and AI, and Webex Calling supports hot desking
- Overflow and failover rules, so calls move to another site, a mobile or voicemail if a site is busy or offline
- Emergency locations, so 999 and 112 calls carry the right address for each site or user
3CX PRO and AI can bridge remote offices into one system, and Webex Calling organises users into locations, each with its own PSTN option. See our sister site's guide to a multi-site phone system for the planning detail.
Admin and security features
Day-to-day control matters as much as calling features. Look for a web portal where you can add and remove users, change greetings and opening hours, and reset devices yourself. 3CX provides an admin console, Webex Calling is managed in Control Hub, and Teams Phone is managed in the Teams admin centre.
Security features belong on the list too: multi-factor authentication for administrators, separate admin rights for the people who make changes, encrypted signalling and media where supported, and controls on international and premium-rate dialling. The NCSC's PBX best practice guidance recommends MFA for administrative access, TLS and SRTP encryption, and restricting international, premium-rate and personal numbers, and our VoIP security page explains each control.
Choosing the features you will use
It is easy to pay for features nobody uses. Start from your call flows: who answers first, what happens when they are busy, what happens out of hours, and what managers need to see. If those answers point to hunt groups and voicemail, an entry tier will do. If they point to queues, wallboards, recording and CRM screen pops, look at 3CX PRO or AI, Forever UC Plus or Contact, or Webex Calling with Customer Assist.
Our guide to choosing the best VoIP phone system turns this into a set of criteria. When you are ready, contact us and we will map your call flows to the right platform and tier.
How Forever Systems helps you choose a VoIP phone system
We supply and support several VoIP platforms, so we can recommend the one that fits how your team takes calls rather than fitting your business around one product.
- Platform advice across hosted 3CX, Microsoft Teams Phone, Webex Calling, Forever UC and Forever Teams, with SIP trunks for phone systems you already own
- A requirements check of your broadband, network and routers before anything goes live
- Numbers and porting: we can help you keep your existing business numbers and plan the move away from analogue and ISDN lines
- Handsets and headsets that suit each platform, bought outright or, in some cases, included in your monthly rental, with the options confirmed at quote
- Set-up and changes: call flows, users and devices configured for you, and help with moves, adds and changes afterwards
- For BT Cloud Voice, see our sister site cloudvoice.cloud, and for hosted and cloud platforms in depth, cloudphone.cloud
We work with businesses, schools, charities and public sector organisations.
Frequently asked questions
What features does a VoIP phone system have?
Most include extensions, transfer, auto attendant menus, hunt groups, voicemail to email, call park and pickup, and apps for mobiles and laptops. Call queues, recording, live reporting, CRM integration and AI features depend on the platform tier or licence.
Which VoIP features matter most for a small business?
A greeting and menu, hunt groups, voicemail to email and mobile apps cover most small teams. Call recording and reporting become useful as call volumes grow, and CRM integration helps sales and support teams.
Does a VoIP phone system include call recording?
Often, depending on the tier. 3CX includes it on SMB Free, PRO and AI, Forever UC on Plus and Contact, and Webex Calling on Professional and Standard licences. Teams users can record calls, call queues can be recorded automatically, and compliance recording uses Microsoft-certified third-party products.
Can a VoIP phone system work with Microsoft Teams?
Yes. Teams Phone and Forever Teams put calling inside Teams, Webex Calling has a Teams integration on Professional (User) and Standard licences, and the 3CX AI edition includes a Teams Direct Routing integration from 16 simultaneous calls.
Can a VoIP phone system send texts?
Some can. 3CX lists SMS alongside website live chat on every edition, answered in the same app as calls, and adds WhatsApp and Facebook messaging on SMB Free, PRO and AI. Other platforms vary, so check SMS works with your numbers.
What is BLF on a VoIP phone?
BLF stands for busy lamp field: keys or lights on a desk phone or console that show whether colleagues are free, ringing or on a call, and let you transfer or pick up calls with one press. It is popular on reception phones.
